AT&T System Conversion Update - Please Read - IMPORTANT CHANGES for Pub 836, 829, 514

 

RE:  This ELINC was sent out earlier today.  It is being resent because much of the information was cut-off at the bottom of the ELINC.  The ELINC has been modified, some of the examples had to be removed. In February 2007, AT&T Advertising & Publishing successfully converted the Publishing contract system for Pub 714 (Michigan) directories into a Common Suite of Systems (CSS) that is shared with Pubco's 962, 927, 760, 717, 815, & 724.  The next state that is scheduled to convert to the new CSS system is Pub 836, 829, 514 (California & Nevada) directories.  The conversion for Pub 836, 829, 514 (California & Nevada) directories is scheduled to take place beginning Tuesday, April 24, 2007 and will be complete by Monday, May 7, 2007.  Below outlines the events that will take place along with changes that will impact CMRs orders.

 

ORDER PROCESSING ACTIVITY - Pub 836, 829 & 514 (California & Nevada) Only

·         TuesdayApril 24, 2007 - The last day AT&T will read their mailbox before the conversion.

·         TuesdayApril 24, 2007  - The last day CMRs will receive California/Nevada advices / queries from existing legacy system.

·         ThursdayApril 26, 2007 to SaturdayMay 5, 2007 - Pub 836, 829 & 514 will not be reading or sending anything from their mailbox on order activity.  Orders received during this time will be held and will be processed into AT&T's new CSS system beginning Monday, May 7, 2007.

·         Monday, May 7, 2007 - The first day Pub 836, 829, 514 will begin reading their mailbox on order activity from CMRs.

 

 

In the event the conversion is delayed, AT&T will communicate the new conversion dates in a forthcoming ELINC.  Once the conversion is complete, Pub 836, 829 & 514 directories that publish out of the new system, will undergo changes that will impact the CMRs order.  The changes that will occur have been documented below.  It is important to note, CMRs must refrain from modifying their order with any changes shown below until after May 7, 2007.  In most cases, AT&T will advise CMRs to update their order after May 7, 2007, to comply with the new system applications. 

 

HEADING CHANGES - PUB 836, 829 & 514

In aligning headings for ALL AT&T Publishing Companies, many headings used for Pub 836, 829 & 514 may reflect a heading change.  The heading change may occur as a result from one of the following situations:

 

1)     Headings Where a Comma, Apostrophe or Period was Added or Removed

2)     Headings Where a Word was Added or Removed

3)     Headings Where the Order of Words Changed

4)     Headings Where an "S" was Added or Removed

5)     Heading Abbreviation Changes

6)  AND.....OVER 2,000 NEW HEADINGS NOW AVAILABLE TO PUB 836, 829 & 514 DIRECTORIES!!!!

 

To assist CMRs in translating all of the new heading changes for Pub 836, 829 & 514a matrix of the changes is available on AT&T's National CMR website at www.nationalyp.com.  Please refer to the April 2007 newsflash titled "AT&T System Conversion for Pub 836, 829 & 514 (California & Nevada)".  CMRs will find a matrix that will include a complete list of all headings available for Pub 836, 829 & 514 to use moving forward.  The matrix also includes a list of the NEW HEADINGS that are now available in California & Nevada directories (please refer to the separate tabs included on the matrix). 

 

The Heading Search tool, which is located on AT&T's National CMR Website Home Page, can also be used to locate headings that are available for Pub 836, 829 & 514 directories.  CMRs will use the same search function that is used to locate headings for Pub 962, 927, 760, 717, 997, 815, & 724 directories. 

 

As a result of the system conversion, the heading changes will impact the following June 2007 directories and moving forward.   AT&T will update their system with the new heading text and will advise CMRs of the heading changes.

In an effort to standardize processes to align with Pub 962, 927, 760, 717, 815, 724, 997 & 724 directories, the following changes will take place for Pub 836, 829 & 514 (California & Nevada) directories. 

 

Include SPECIALTY ITEMS on the National Order

Currently, Specialty Items for Covers, Spines, Tip-Ons, SNIPEs, Front Cover Photos (FCP) and Tabs were handled manually via a contract and CMRs did not transmit an order through Elite.  CMRs will begin to include Specialty Items on their National Order beginning with August 2007 publications and moving forward.  AT&T will contact those CMRs who have sold Specialty items and will assist in getting the specialty item placed on your national order.  CMRs will need to include a name, address and telephone line as well and an Artwork ID on the line following the name.   To view an example of the order format, please go to the April 2007 newsflashes on AT&T's National CMR website at www.nationalyp.com.

 

Include Version B Split Run Items on the National Order

CMRs who are doing a Split Run test in any Pub 836, 829, 514 directories, effective with July 2007 directories and moving forward, CMRs will be contacted to start adding Version B items to their order.  Prior to now, only Version A items were placed on their order in Elite.  Version B items had to be manually handled outside of the system.  Moving forward, both Version A & B items will need to be placed on the order along with the required advice lines.  CMRs performing a Split Run test will be contacted and provided new keying instructions as to how their order should be formatted. 

 

ANCHOR SPACE LISTING ADS  

Anchor Space Listing ads that are purchased with Display ads will now require an Anchor Regular Listing (ARL) UDAC to appear on order in addition to the Anchor Space Listing UDAC.  Clients have the option for the ARL to print or not to print in the directory.  If the ARL is optioned to print, the free Anchor Listing will appear in the directory immediately following the Anchor Space Ad and will indicate the page number on which the Display ad can be found.  If the client does not wish for the ARL to print after the Anchor Space ad in the directory, then the CMR must indicate "Omit Anchor" on their order.  AT&T will query those accounts where the order is not formatted correctly.  To view an example of an order format, please go to the April 2007 newsflashes on AT&T's National CMR website at www.nationalyp.com.

 

UDAC CHANGE - Leader Ad UDACs

Currently, three UDACs are used for placing Leader Ads for Pub 836, 829, 514 directories.  LA1, LA2 & LA3 UDACs are used to indicate which position the Leader Ad will appear in the directory.  CMRs will be advised to change the Leader Ad UDAC on their order to be a LA UDAC.  Moving forward, Loyalty placement for any new Leader Ads placed after May 7 will be determined based on order insertion date.   The June 2007 issue of YPA Rates and Data will be updated with the New Leader Ad UDAC.
